Responsible and Transparent Use of Artificial Intelligence in Scholarly Publishing
AI Ethics and Responsible Use
The Indonesian Journal of Applied Science Innovation Outcomes (IJASIO) recognizes that artificial intelligence (AI) and AI-assisted technologies can support authors, reviewers, and editors in scholarly communication. At the same time, the use of AI must not compromise research integrity, originality, transparency, confidentiality, authorship, or accountability.
This policy establishes principles and procedures for the responsible use and disclosure of AI and AI-assisted technologies in manuscripts submitted to and published by IJASIO.
Core Principles
Relevant use of AI should be transparently disclosed where required by this policy.
Human authors and editorial participants remain responsible for the content and decisions they produce.
AI must not be used to fabricate, falsify, manipulate, or misrepresent research.
Confidential manuscripts and editorial information must not be improperly disclosed to AI systems.
Use of AI by Authors
Authors may use AI-assisted technologies as supporting tools during the research and manuscript preparation process, provided that their use does not compromise the integrity, originality, accuracy, or accountability of the work.
- Authors remain fully responsible for the accuracy, originality, integrity, and scholarly content of their manuscripts.
- AI systems must not be listed as authors or co-authors because they cannot assume responsibility for the manuscript.
- Authors must critically review and verify AI-generated or AI-assisted content before including it in a manuscript.
- Authors must verify references, citations, factual statements, data, quotations, and other information generated or suggested by AI tools.
- Authors must not use AI to fabricate data, results, references, citations, images, experimental evidence, or other research materials.
- Authors should disclose relevant AI use in accordance with the disclosure procedure described below.
- Authors must comply with applicable copyright, intellectual property, privacy, confidentiality, and data-protection requirements.
Acceptable Uses of AI
AI-assisted technologies may be used for legitimate supporting activities, provided that the author remains responsible for the resulting work and verifies the output.
Grammar, spelling, readability, and language editing.
Assistance with structure, wording, or improving clarity.
Supporting programming or code development, provided that authors verify and take responsibility for the code.
Limited assistance with brainstorming, organization, or other legitimate research-support activities.
Prohibited or Unacceptable Uses
- Fabricating or falsifying research data, findings, results, or experimental evidence.
- Generating fictitious references, citations, quotations, or bibliographic information.
- Presenting AI-generated content as independently produced scholarly work when such use should have been disclosed.
- Using AI to manipulate images or research evidence in a misleading manner.
- Using AI to conceal plagiarism, duplicate publication, or other forms of publication misconduct.
- Uploading confidential manuscripts, unpublished research, personal information, or sensitive data to AI services without appropriate authorization and safeguards.
- Using AI-generated material in a manner that infringes copyright, intellectual property rights, privacy, or other applicable rights.
AI Use Disclosure
Where AI-assisted technologies have been used in a manner that materially contributes to manuscript preparation, authors should provide an appropriate disclosure. The disclosure should identify the AI tool or system and explain how it was used.
"The authors used [name of AI tool/system] for [describe the purpose, such as language editing, grammar improvement, or organizational assistance]. The authors reviewed and verified the output and remain fully responsible for the final content of the manuscript."
Where AI Use Should Be Reported
Depending on the nature of the AI use, the disclosure may be included in an appropriate section of the manuscript, such as the Acknowledgments or another dedicated disclosure section, where applicable.
AI tools used only for routine spelling, grammar, or language correction may be treated differently depending on the extent of assistance. Authors should nevertheless remain responsible for verifying all final text.
AI-Generated Images, Figures, and Other Content
Authors should clearly identify the use of generative AI in creating images, figures, illustrations, diagrams, or other visual or multimedia content where such disclosure is relevant to understanding the research or publication.
AI-generated content must not be presented as authentic research evidence or manipulated in a way that misleads readers about the underlying research. Authors are responsible for ensuring that the use of such content complies with applicable copyright, licensing, ethical, and intellectual property requirements.
AI Systems Cannot Be Authors
AI systems, generative AI tools, chatbots, language models, and other automated systems cannot be listed as authors or co-authors of an IJASIO manuscript. Authorship carries responsibility for the work, and such responsibility must remain with human authors.
Use of AI by Reviewers
Reviewers must protect the confidentiality of manuscripts and all information obtained during peer review.
- Reviewers should not upload or submit confidential manuscript content to public or third-party AI systems where confidentiality cannot be adequately protected.
- Reviewers remain responsible for the accuracy and integrity of their review reports.
- AI tools must not replace the reviewer's independent scholarly judgment.
- Any permitted use of AI assistance should comply with the confidentiality and ethical requirements of the journal.
Use of AI by Editors
Editors may use appropriate technological tools to support administrative or editorial activities, provided that such use does not compromise confidentiality, fairness, editorial independence, or the integrity of the publication process.
AI-assisted tools should not replace the editor's responsibility for editorial decisions. Final decisions concerning manuscripts remain the responsibility of the designated human editor.
Confidentiality and Data Protection
Manuscripts submitted to IJASIO may contain unpublished research, personal information, proprietary information, or other confidential material. Such information should be handled carefully and should not be entered into external AI systems when doing so could expose confidential content or violate applicable privacy, contractual, institutional, or legal requirements.
AI Ethics Review Procedure
Disclosure
Authors disclose relevant AI use where required by this policy.
Verification
Authors verify AI-assisted content, references, data, and factual statements.
Editorial Assessment
Editors may assess whether disclosed AI use is consistent with publication ethics.
Further Action
Where concerns arise, the editorial team may request clarification or take appropriate action.
AI-Related Publication Misconduct
Failure to disclose relevant AI use, fabrication of information, generation of fictitious references, manipulation of research evidence, plagiarism, or other deceptive use of AI may be treated as a potential publication-ethics concern.
Where credible concerns are identified, IJASIO may request explanations or supporting information and may take appropriate editorial action in accordance with its Publication Ethics and Correction & Retraction policies.
AI Assists — Authors Remain Responsible
The use of AI-assisted technologies does not transfer responsibility for a manuscript to the AI system. Human authors remain responsible for the accuracy, originality, integrity, ethical compliance, and final content of their published work.
AI Ethics at a Glance
AI cannot be listed as an author or co-author.
Relevant AI assistance should be appropriately disclosed.
AI must not be used to fabricate or falsify research.
Confidential manuscript content must be protected.
